How to Use Copilot AI in Microsoft Word

Microsoft Word has integrated a powerful new tool—Copilot AI—that helps streamline the writing process and elevate your productivity. Available to customers with a Microsoft 365 Copilot or Copilot Pro license, Copilot is your AI-powered assistant, ready to assist with everything from drafting documents to transforming existing content. Here’s how you can leverage Copilot’s capabilities to get more done in less time.

Getting started is easy with Copilot’s “Draft with Copilot” feature. Whether you’re creating a new document or working on an existing one, simply start typing or create a new line, and the Copilot interface will appear. You can give Copilot a simple prompt, such as “Write an essay about baseball” or something more detailed like “Create a paragraph about time management.” The AI will then generate content based on your request.

For those with a Microsoft 365 Copilot license, you can even reference up to three existing files to guide Copilot’s drafting. This is a great way to ensure the new content aligns with your existing work or adds more depth to your document. Once Copilot generates the draft, you can choose to keep it, discard it, or regenerate it for a different version.

You can also modify the draft by entering specific instructions in the compose box, such as “Make this more concise” or “Add more detail.” Copilot will adapt its response to your preferences, ensuring the final document is exactly what you need.

2. Transform with Copilot

Copilot not only helps you create new content but also makes it easier to refine and improve your existing work. If you have a document with text that could use a little extra polish, simply highlight the text you want to change, click the Copilot icon, and choose the “Rewrite” option. Copilot will provide rewritten versions for you to choose from, saving you time and effort. If you need a specific tone, you can also adjust the text’s tone to suit your audience.

Additionally, Copilot can help visualize your content. For example, you can highlight text and ask Copilot to convert it into a table. This feature is perfect for transforming lists, comparisons, or other structured data into an easily digestible format. After Copilot generates the table, you can fine-tune it by providing additional instructions in the compose box, such as “Add a third column” or “Change the header.”

3. Chat with Copilot

Need answers or have questions about your document? Copilot’s chat feature is there for you. You can open the chat pane by selecting the Copilot icon in the ribbon’s Home tab. From there, you can ask Copilot to summarize your document, explain key points, or generate ideas, tables, or lists. It’s like having a conversation with a virtual assistant that can help you refine or clarify your document.

If you need to dig deeper into specific content, you can use the chat to ask Copilot for more detailed information, or even request that it generate content on a different topic. For instance, you might ask, “What are the key points in this document?” or “Summarize this in one paragraph.”
